How to track your expenses every month, step by step

The HeyCents team · · 2 min read

Almost everyone knows how much they earn. Very few people can say exactly where last month's money went. Tracking your expenses isn't accounting: it's having just enough information to make better choices. These five steps work.

1. Log each expense when it happens

Memory is the worst logging system. By Sunday you will have forgotten the coffee, the delivery and the parking. Writing it down in the moment, even in ten seconds, is what separates people who track their money from people who guess.

Tip: If logging takes more than 15 seconds, you'll quit. Find the shortest way you can: a quick note, a message, or just saying it out loud.

2. Use few categories

Eight or ten is plenty: groceries, transport, housing, eating out, health, fun, debt and other. The more categories you have, the more time you spend deciding where things go, and the less likely you are to keep going.

3. Separate fixed from variable

  • Fixed: rent, utilities, loan payments, subscriptions. They barely change month to month.
  • Variable: groceries, transport, going out. This is where you have room to move.
  • Small daily expenses: the coffee, the snacks, the tips. Look at them on their own, because they add up to more than they seem.

4. Do a short review every week

Ten minutes on Sunday is enough. See how much you've spent, which category is running over, and what's coming next week. Weekly check-ins prevent end-of-month surprises.

5. Adjust, don't punish yourself

The goal isn't to spend zero; it's to spend on what matters to you. If you find delivery eats a big part of the month, you don't need guilt. You need to decide whether it's worth it and, if not, change the habit.

How HeyCents makes it easier

HeyCents is built so step one weighs nothing: tell it "spent 30 on lunch" and the app picks up the amount, category and date for you. You can say it out loud or type it, and your spending is split into fixed, variable and small daily expenses during the cycle. Tracking stops being a chore and becomes a ten-second habit.
